How Do I Share My Contacts
From Sw
Sharing contacts with people means when you edit a contact everyone who is sharing that contact receives the update on their next sync. This will save you time because you will receive the updates others make. Also, receiving updates from others helps to ensure you always have the most accurate and up to date information possible.

[edit] The First Step
- The first step is always to sign up for a ScheduleWorld account!
[edit] Contact Sharing/Linking By Category - The Best Way In The World To Share Your Contacts
Selectively sharing (linking) your contacts based on category is simple to use and extremely powerful. Often you will want to share (link) specific contacts with your spouse, different specific contacts with folks at work, and other specific contacts with other people for various reasons. Sharing (linking) contacts by category provides this flexibility.
[edit] Use Case 1: Sharing Your Spouse's Contacts
Your spouse manages contacts for one side of the family as your spouse is always communicating with them. You would like to have an up to date list of contact information but everyone assumes your spouse already has the info so you never receive the updates. Now you can! Simply share your spouse's contacts for that side of the family and you'll always have that information for when you need it.
[edit] Use Case 2: Sharing The Secretary's Contacts
Your secretary can keep the corporate contacts up to date; and they can easily be shared via ScheduleWorld to folks locally or remotely. Everyone would always have the most up to date information available on the most platforms and devices compared to any other service.
[edit] Sharing Contacts Using The Web 2.0 Contacts Application
In a nutshell, all you have to do is click the 'Sharing' button in the contacts view and select who you want to share what category-based contacts with (or who you want to stop sharing with). Some screen shots will be added here shortly.
[edit] Walkthrough: Invite and Accept a Contact Sharing Request
[edit] Owner
- Contacts view -> click 'Sharing...'
- Select a user you want to share with and click one of:
- R/W (Read/Write): The recipient(s) will also be able to edit your contacts.
- R/O (Read/Only): The recipient(s) will not be able to edit your contacts.
- Click 'Save'. The server will invite the recipients to share with you using email and through the web application.
[edit] Recipient
Recipients of a sharing request will be notified (and can accept or deny) in two ways:
- Email - the recipient will receive an email explaining that the owner of some contacts in a specific category wishes to share them. URLs for accepting or denying this request will be in the email.
- Web application - the recipient can manage invitations using the following steps:
- Show Perm and Link Columns
After clicking 'Accept Request' the recipient will immediately start receiving the newly shared (linked) contacts from the server. The recipient can easily see which contacts are shared (linked) by adding two columns to the contacts list view: "Perm" and "Link". You can add these columns by right-clicking the column header (F.E. Display Name) and selecting the "Perm" and "Link" columns.
[edit] Walkthrough: Owner Stops Sharing With Recipient
If the owner wants to stop sharing certain contact categories with someone use the following process. Note that the recipient permissions granted to the owner are not affected here.
- Contacts view -> click 'Sharing...'.
- Select the category you want to work with.
- Select the user(s) you want to stop sharing with.
- Click the 'Del >>' button to delete their links with your contacts.
- Click 'Save'. The server only deletes their links when you click 'Save'.
- The recipient's contacts list view will reflect each contact's link status in the 'Link' column. You may have to right-click the grid column header and enable the 'Link' column to see this.
NOTE: This only deletes the links between your (the owner's) contacts and the recipient. The recipient will receive copies of the previously linked contacts. Future edits by the owner will not be seen by the ex-recipient. Future edits by the ex-recipient will not be seen by the owner.
[edit] Walkthrough: Recipient Stops Sharing With Owner
The recipient has the option to stop _all_ sharing between the recipient and an owner of certain contacts.
- Contacts view -> click 'Sharing...'.
- Select the tab "Incoming / Shared Contacts And Invitations".
- Select the owner from the grid "Granted Permission To Share With You".
- Select 'Stop Sharing'. This will break all links for all categories between the owner and you. You will receive copies of all of the events you were linking.
- The recipient's contacts list view will reflect each contact's link status in the 'Link' column. You may have to right-click the grid column header and enable the 'Link' column to see this.
- After you stop sharing and the owner syncs its contacts the owner will notice that the recipient is no longer linked with any of its categories.
[edit] Sharing Contacts Using Thunderbird
NOTE: This has been temporarily disabled as the new contact sharing service has been released and the existing Thunderbird syncSW add-on needs to be modified to use it.
- Install the excellent ScheduleWorld Thunderbird add-on. Use the email installer found on this page: Thunderbird_Configuration. This enables the 'Share' option when you right-click an address book.
- Right-click an address book to share it. The screen shot on the left shows someone in the process of sharing their work address book.
- Select the users you want to share the address book with. The right screen shot shows someone selecting the user 'first1 last1' to share the address book.
- Click 'Save' to tell ScheduleWorld to set up sharing on the server and to email the user(s) you are sharing with.
- The next time the person you're shared your address book with syncs with Thunderbird they will have a non-conflicting address book created for them and your shared contacts will be there.
[edit] Deleted Shared Contacts Are Not Synchronized
In order to not surprise folks with a deleted address book delete actions on shared contacts do not propagate to others.
- If you delete a contact that you previously shared:
- it will be deleted in your address book.
- no shared versions of this contact will be deleted.
- sharing of the contact is disabled, so you will not receive any changes that others made on your deleted contact - even if you do a slow sync.
